Terms of service

The rules of the deal. We have kept these short and readable rather than burying anything.

These terms are an agreement between you and Dictate Digital Pty Ltd (ABN 98 665 807 705, ACN 665 807 705), trading as ReputationFlow. By signing up or using the service you agree to them.

1. What we provide

ReputationFlow is a subscription service that sends review requests to your customers on your behalf, helps you respond to reviews, and — depending on your plan — manages your Google Business Profile and related reputation work. What is included depends on the plan you choose.

We provide the tools and the sending. You provide the customers, the service quality and the consent. Reviews come from real people making their own decisions, which is exactly why we cannot promise a specific number of them.

2. Who can use it

To use ReputationFlow you must:

  • Be a business operating in Australia with a valid ABN
  • Be at least 18 years old and authorised to bind your business
  • Have a genuine Google Business Profile that you own or are authorised to manage
  • Have a lawful basis to contact the customers you upload

3. Your responsibilities

You agree that you will:

  • Only upload contact details of real customers you have actually served
  • Have consent to contact them, as required by the Spam Act 2003
  • Not upload purchased, rented, scraped or third-party lists
  • Not ask us to send to anyone who has opted out
  • Not use the service to offer rewards or incentives in exchange for reviews
  • Not attempt to filter who gets asked based on how you expect them to rate you
  • Keep your login credentials secure
  • Give us accurate billing information

4. Pricing and billing

Current plans are Essential at $297, Professional at $497, Dominate at $797 per month. All prices are in Australian dollars and include GST.

  • Monthly plans are billed in advance on the same day each month.
  • Annual plans are billed in advance for twelve months at a discount.
  • Setup is free on all plans. There is no joining fee.
  • Request allowances apply per plan. If you approach your limit we will contact you to discuss moving up a plan. We do not apply surprise overage charges.
  • Extra review requests can be added to any plan at $1 per request, purchased in blocks of 110 (for example $110 for 110 requests, $220 for 220). Top-ups are billed at the time of purchase and applied to the current billing month.
  • Unused requests do not roll over. Your monthly allowance, including any top-ups, resets at the start of each billing month. Unused requests expire and are not refundable or transferable to a later month.
  • Once-off services are quoted and invoiced separately and are payable before work begins.

If a payment fails we will retry and email you. If it remains unpaid after 7 days we may pause sending. After 30 days we may close the account.

5. Price changes

We may change our prices. If we do, we will give you at least 30 days' notice by email before it affects you. Annual plans keep their price until renewal. If you do not accept a price change, you can cancel before it takes effect and you will not be charged the new rate.

6. Cancelling

  • Monthly plans: cancel any time by emailing info@reputationflow.com.au. Cancellation takes effect at the end of your current billing period. There is no exit fee and no notice period beyond that.
  • Annual plans: prepaid for twelve months. You can cancel to stop it renewing, but the prepaid term is not refundable except under the guarantee below or where the Australian Consumer Law requires it.

On cancellation, sending stops, we export your data on request, and we delete your customer data within 90 days.

7. The 30-Day Review Guarantee

Our guarantee is set out in full on the Guarantee terms page and forms part of these terms.

8. What we do not promise

Being straight with you about the limits of this service:

  • We cannot guarantee search or map rankings. Google's algorithm is proprietary and changes constantly. Reviews are one documented factor among many.
  • We cannot guarantee any particular number of reviews beyond the specific commitment in our 30-Day Review Guarantee. Your customers decide whether to write one.
  • We cannot guarantee removal of any review. Only Google can remove reviews. We can assess and appeal where genuine policy grounds exist.
  • We cannot control third parties. Google, telecommunications carriers and email providers all sit between us and your customer. Outages and filtering happen.
  • We do not control your star rating. If your service is poor, this system will surface that faster. That is working as intended.

9. Australian Consumer Law

Our services come with guarantees that cannot be excluded under the Australian Consumer Law. For major failures you are entitled to cancel and receive a refund for the unused portion, or compensation for reasonably foreseeable loss or damage. You are also entitled to have the service remedied if it is not of acceptable quality and the failure is not major.

Nothing in these terms limits those rights. Where we are permitted to limit liability, our total liability is capped at the amount you paid us in the twelve months before the claim, and we are not liable for indirect or consequential loss such as lost profits or lost business opportunity.

10. Intellectual property

We own the ReputationFlow platform, brand and templates. You own your business data, your customer list and your reviews. You grant us a limited licence to use your business name, logo and team details solely to deliver the service to you.

We will not name you publicly as a client, or use your logo in our marketing, without your written permission.

11. Suspension and termination

We may suspend or close your account, with notice where practical, if you:

  • Breach the Acceptable Use Policy
  • Upload lists you do not have consent to contact
  • Attempt to generate fake or incentivised reviews through our platform
  • Do not pay after the process in clause 4
  • Use the service in a way that puts our sending reputation or legal position at risk

Where we close an account for a serious breach, we may do so immediately and without refund of the current period.

12. Changes to these terms

We may update these terms. For material changes we will give you at least 30 days' notice by email. Continuing to use the service after that means you accept the updated terms.

13. Governing law

These terms are governed by the laws of Queensland, Australia. Both parties submit to the non-exclusive jurisdiction of the courts of Queensland. Before starting proceedings, we both agree to genuinely attempt to resolve the dispute by discussion.
